1. About these terms
These Terms and Conditions apply to all services and products provided by Bodyspace Movement. Please read them alongside our Privacy Policy.

1.1 Definitions
In these Terms and Conditions:
• "We", "us", "our" means Bodyspace Movement, owned and run by Hayley Elizabeth Brown, including any teachers or associates contracted to provide services on our behalf.
• "You", "your", "Client" means anyone who has booked, purchased, or accessed a session, class, course, membership, product, or service from Bodyspace Movement.
• "Studio" means any venue used to deliver in-person sessions, including private homes and hired spaces such as village halls or community centres.
• "Session" means a single class, appointment, or movement session — group or private.
• "Course" or "Series" means a set of consecutive sessions delivered over a defined period (for example, a 4-week or 12-week program).
• "Live" means a session delivered in real time, either in person or online via video call (such as Zoom).
• "Recorded" or "Pre-recorded" means content created in advance and delivered asynchronously through our online platform.
• "Online platform" refers to Kajabi, which hosts our membership content, recordings, and digital products.
• "Membership" means ongoing access to our online classes and recording library on a subscription basis.
1.2 Your agreement to these terms
These Terms and Conditions are published on our website and available on request. By booking, purchasing, or participating in any service from Bodyspace Movement, you agree to be bound by them — whether or not you have signed a separate form.
1.3 Changes to these terms
We may update these Terms and Conditions from time to time as our services evolve. Changes will be published on our website and, where relevant, communicated by email. It is your responsibility to check for updates. Continued use of our services after changes are published means you accept the updated terms.
1.4 Governing law
These Terms and Conditions are governed by the laws of England and Wales, and any disputes fall under the exclusive jurisdiction of the English courts.
2. Bookings and cancellations
2.1 How to book
Sessions, classes, courses, and memberships can be booked through our website, our online booking system (Acuity), or our online platform (Kajabi), depending on the service. Details of availability, prices, and start dates are published on our website and booking systems.
2.2 New clients
If you are new to Bodyspace Movement, or returning after a long break, we ask that you book a 1:1 session first. This gives us a chance to get to know you, understand your body and any health considerations, and make sure group classes are the right fit for you. You will also be asked to complete a Health Questionnaire before your first session.
2.3 Group classes and courses
Group classes are limited to a maximum of 6 people to keep the experience personal and tailored. Classes are sold as part of a course or series (for example, a 4-week or 12-week block) rather than as individual drop-in sessions. Courses are non-transferable between clients.
2.4 1:1 and 2:1 private sessions
Private sessions can be booked as a single session or as a package of multiple sessions. They can be rescheduled provided you give at least 24 hours' notice.
2.5 Premium home visits
Premium home visits can be booked by arrangement. Travel time and location will be confirmed at the point of booking. Cancellation terms for home visits follow the same 24-hour notice rule as other private sessions.
2.6 Cancelling or rescheduling
To avoid being charged the full fee, you must cancel or reschedule any session at least 24 hours in advance. Please contact us by phone, text, or email during business hours. Refund details are covered in Section 3.
2.7 Booking on behalf of others
If you make a booking for a group or on behalf of someone else, you are responsible for the full payment and for ensuring that everyone in the group has read and agreed to these Terms and Conditions.
2.8 Vouchers and gift cards
All vouchers and gift cards will carry an expiry date. Vouchers without an expiry date are not valid.
2.9 Cancellations by us
We will do our best to give you at least 24 hours' notice if we need to cancel an individual class or session. If we cancel, we will offer one of the following, depending on what works best in the circumstances:
• A rescheduled session
• A recorded session in place of the live class, along with relevant online resources
• A credit towards a future class or course
• A refund
2.10 Substitute teachers
Occasionally we may need to use a substitute teacher. We reserve the right to do so without notice.
2.11 Changes to format
We reserve the right to change the format of a class or course if necessary — for example, switching from in-person to online in the case of illness, travel disruption, or government restrictions. We will always aim to provide continuity so you don't lose your spot.
3. Payments, refunds and returns
3.1 How to pay
Payment is taken at the time of booking. Our primary payment methods are debit and credit card, processed securely through Stripe or PayPal via our website and booking systems.
3.2 Other payment methods
Payment by cash, cheque, or direct bank transfer may be accepted at our discretion. Payment is considered complete once cleared funds have been received into our nominated bank account. Any payment not honoured by your bank will be subject to an administrative charge to cover any fees we incur.
3.3 Prices
Current prices are published on our website and booking systems. We reserve the right to update our prices from time to time. Any price changes will not affect bookings already paid for.
Live sessions, classes and courses
3.4 Attending a session
You must book and pay for a session before attending. Once booked, you will receive confirmation by email, including any relevant joining details (such as a Zoom link for online sessions). Please keep these confirmation emails for your records.
3.5 14-day cooling-off period
You have the right to cancel any live course or private session within 14 days of purchase for a full refund — except where your course or session has already started, in which case we will deduct the cost of any sessions that have already taken place.
3.6 Refunds after 14 days
After the 14-day cooling-off period, refunds are not automatically available. We will consider refunds in exceptional circumstances at our discretion, and an administration fee may apply.
3.7 Cancellations by us
If we cancel a live course, you will receive a full refund. For cancellation of individual sessions, please refer to Section 2.9.
Digital content: recordings and online resources
3.8 Access to recordings
Recordings of live online classes are made available through our online platform (Kajabi) within 24 hours of the live class. Access to recordings is covered by your class booking or membership, as described in Section 5 (Membership) and Section 4 (Live online classes and recordings).
3.9 Quality and fitness for purpose
Digital content we provide — including recordings, video libraries, and downloadable resources — will be of satisfactory quality, fit for purpose, and match the description given at the point of purchase. If any digital content is faulty or doesn't work as described, please let us know and we will repair, replace, or refund as appropriate.
3.10 Refunds on digital content
You have the right to cancel and receive a full refund on any one-off digital content purchase within 14 days of purchase, provided you have not yet downloaded or accessed the content. Once you have accessed the content, the right to a refund no longer applies, in line with UK consumer law.
Complaints
3.11 Raising a complaint
If something hasn't gone well, please let us know by emailing help@bodyspacemovement.co.uk. We aim to respond within 10 working days and will do our best to resolve any concerns promptly and fairly.
4. Live online classes and recordings
4.1 How live online classes are delivered
Live online classes are delivered via Zoom. Once you have booked, you will receive a Zoom link by email through our booking system (Acuity):
• 24 hours before the class
• 1 hour before the class
Please check your inbox (and spam folder) in good time. If you don't receive your link, email us as soon as possible so we can resend it.
4.2 Joining a class
You are welcome to join classes from any quiet, safe space where you have enough room to move comfortably. It's your responsibility to make sure your exercise area is clear of obstructions and hazards before you begin.
4.3 Cameras and participation
We warmly encourage you to keep your camera on during live classes — it helps us give you personal feedback, adjustments, and the kind of tailored guidance that Bodyspace Movement is built on. That said, keeping your camera on is always your choice.
4.4 Recordings of live classes
Live online classes are recorded. Recordings are made available through our online platform (Kajabi) within 24 hours of the class and form part of the class experience.
4.5 Your appearance in recordings
If you choose to keep your camera on, please be aware that you may appear in the recording. This includes moments when you unmute to ask a question or speak, which we cannot always anticipate or edit out. The same applies if we use Kajabi's built-in recording system.
By attending a live class with your camera on or unmuting during the class, you consent to potentially appearing or being heard in the recording. If you would prefer not to appear, please keep your camera off and stay on mute. You are welcome to ask questions privately via the Zoom chat.
4.6 Zoom AI transcripts and summaries
We use Zoom's AI feature to generate a transcript and summary of live classes. These are used only by Hayley as a reference for teaching notes and content ideas. Transcripts and summaries:
• Are only accessible by Hayley
• Are not shared with other clients or third parties
• Are kept for a maximum of 30 days, after which they are deleted
By attending a live class, you consent to this use of Zoom's AI feature. If you have any concerns, please get in touch before the class.
4.7 Who can access recordings
Recordings of live classes are available to:
• Clients who booked and paid for the live class or course
• Active members, as part of their membership (see Section 5)
Access to recordings ends when your course, block booking, or membership ends, unless otherwise stated.
4.8 Personal use only
All recordings, videos, and digital resources are for your personal use only. You may not download, copy, share, screen-record, distribute, or republish any content without our written permission. All rights in our recordings and digital content remain the property of Bodyspace Movement.
4.9 Technical issues
We do our best to make sure live classes run smoothly, but occasionally technology has other ideas. If a class is interrupted by a technical issue on our end that can't be resolved, we will either:
• Reschedule the class
• Provide the recording when available
• Offer a credit towards a future class
We are not responsible for technical issues on your end (internet connection, device problems, etc), but we will always try to help where we can.
5. Membership
5.1 Membership options
We offer two types of membership:
• Online membership — ongoing access to our live online classes and the full recording library on Kajabi
• Studio membership — ongoing access to in-person classes at the studio, which also includes one live online class per week (either Feet, Legs, Hips & Balance or Align & Move) and access to the recording library
Details of what's included at each level and current prices are published on our website.
5.2 Arranging your included online class (studio members)
If you are a studio member, please email Hayley directly at help@bodyspacemovement.co.uk to arrange which online class you'd like to attend each week. Your included online class is part of your studio membership and cannot be transferred to another person.
5.3 Your regular class (studio members)
When you join studio membership, you'll have a regular class day and time — this is your reserved spot each week. Because group classes are limited to 6 people, having a regular day helps everyone keep their place and keeps the group consistent.
5.4 Switching class days (studio members)
If you can't make your regular class — for example, during holiday periods or life events — you can switch to a different class day, subject to availability. This is a flexibility for members, not a guaranteed option, as other members' regular spots take priority.

5.5 How membership works
Membership is a monthly rolling subscription. Payment is taken automatically each month on the date you first signed up (your billing date).
5.6 Minimum commitment
There is a minimum commitment of one month from the date you join.
5.7 Free trial
From time to time we may offer a 7-day free trial of membership. If you do not cancel before the trial ends, your membership will begin and your first monthly payment will be taken automatically.
5.8 Cancelling your membership
You can cancel your membership at any time after your minimum commitment period. To cancel, please email us at help@bodyspacemovement.co.uk.
When you cancel:
• You will keep access to classes and the recording library until the end of your current billing period
• No further payments will be taken
• Access ends on the final day of your billing period, after which all membership content and in-person class access is no longer available to you
5.9 Pausing your membership
If you need to take a break — for example, if you're away travelling or dealing with a life event — you can pause your membership rather than cancelling.
To pause, please email us directly at help@bodyspacemovement.co.uk. Pausing cannot be done through Kajabi; it can only be arranged by email with Hayley.
When you pause:
• Payments are paused until you return
• Your membership resumes on your original billing date when you come back
• You will not have access to live classes, in-person classes, or the recording library during the pause
5.10 Price changes
If we change our membership prices, we will give you at least 30 days' notice by email before the new price takes effect. You are welcome to cancel before the new price applies if you don't wish to continue at the new rate.
5.11 Failed payments
If a payment fails, we will notify you and try again. If payment cannot be taken after a reasonable period, your access may be suspended until payment is resolved.
6. In-person classes and use of the studio
6.1 Where classes take place
We teach in-person classes at two locations:
Bodyspace Movement Studio — Litchfield Farm, Lidstone Road, Enstone, OX7 4HH
The studio is situated on a working farm, so please follow the directions and parking instructions provided on our website at bodyspacemovement.co.uk/studio-location carefully. Please take care when driving onto the site, respect the working environment of the farm, and park only in the designated parking bays as directed.
St Andrew's Church — Linton Road, Oxford, OX2 6UG
Oxford classes are held in the Large Meeting Room upstairs. A lift is available on site for easier access.
Details of the venue for your specific class will be confirmed at the time of booking.
6.2 What to wear
Please wear comfortable clothing you can move easily in — stretchy leggings, shorts, or loose trousers, and a top you can move freely in. Classes are practised in bare feet or socks. Footwear is removed in the reception area before entering the studio space.
6.3 What to bring
A bottle of water in a closed container is welcome. Any equipment needed for class is provided — we'll let you know in advance if you need to bring anything specific.
6.4 Children
Children under 16 are welcome to visit the studio but must be accompanied and supervised by an adult at all times. The adult is fully responsible for them during their visit.
6.5 Pets
With the exception of guide dogs, pets are not permitted in the studio or other venues we use.
6.6 Food and drink
In the interests of safety and hygiene, please do not bring food, crockery, or glassware into the studio. Water in a closed bottle is fine.
6.7 Safety and hygiene
Please let us know in advance if you have a verruca, athlete's foot, or any similar foot condition — in these cases, please wear socks during class rather than going barefoot.
6.8 Fire exits and emergencies
Please take a moment when you arrive to note the fire exits. In the event of a fire or other emergency, please leave by the nearest available exit without stopping to collect personal belongings.
6.9 Smoking and vaping
Smoking and vaping are not permitted in the studio or at any venue we use.
6.10 Looking after the space
Please take reasonable care of the studio and any equipment while you're there. You may be liable for the cost of repair if damage is caused through misuse or carelessness. Please also be mindful of other clients and of any rules set by the venue where a class is held.
6.11 Classes held in your home
If you book us to teach in your own home or a venue you have arranged, you are responsible for ensuring the space is safe and that you have the necessary permissions for the session to take place.
6.12 Personal belongings
Personal belongings are brought into the studio at your own risk. We are not liable for any loss or damage to personal items.
6.13 Right to refuse or end a session
We reserve the right to refuse entry or end a session if a client's behaviour is unsafe, disrespectful to others, or disruptive to the class. In such cases, no refund will be given for the session in question.
7. Health, fitness and your responsibility
7.1 We are not a medical service
Bodyspace Movement is a movement coaching and education service. We are not a medical, physiotherapy, or healthcare service. The information and guidance we provide — whether in person, online, in recordings, in writing, or on our website — is for general educational purposes and is not a substitute for professional medical advice, diagnosis, or treatment.
If you have a health concern, always seek advice from a qualified medical professional. Never delay seeking medical advice because of something we have taught or shared with you.
7.2 Medical clearance
If you have any health condition, injury, recent surgery, pregnancy, or other concern that might affect your ability to exercise, please seek clearance from your doctor or relevant healthcare professional before taking part in any of our classes or sessions.
This includes (but is not limited to):
• High or low blood pressure
• Heart conditions or cardiac irregularities
• Recent surgery
• Pregnancy or post-natal recovery
• Osteoporosis or other bone conditions
• Ongoing injuries or chronic pain
• Any other condition you're unsure about
7.3 Your Health Questionnaire
So we can support you safely, we ask all clients to complete a Health Questionnaire before their first session. This helps us tailor movement to your body and spot anything we need to be aware of.
It is your responsibility to:
• Complete the Health Questionnaire honestly and in full
• Keep us informed of any changes to your health
• Update your Health Questionnaire if anything changes
7.4 During classes and sessions
You are the best judge of your own body. While we will offer guidance, modifications, and support, you remain responsible for working within what feels safe and manageable for you — particularly during online classes where we cannot always see or assess you directly.
This means:
• Please listen to your body and rest or pause whenever you need to
• If something doesn't feel right, don't push through — stop and let us know
• Let us know immediately if you feel unwell, in pain, or experience anything unusual during a session
7.5 Movement involves some risk
All forms of movement and exercise carry some inherent risk of injury, even when done with care and under guidance. By taking part in our classes and sessions, you accept this risk and take personal responsibility for your participation.
7.6 Your space during online classes
When joining live online classes from home or elsewhere, it is your responsibility to make sure:
• Your space is clear of obstructions and hazards
• You have enough room to move safely
• The floor surface is appropriate (non-slip, stable)
• Any equipment you use is in good working order
7.7 Our right to refuse or adapt
We reserve the right to refuse, adapt, or end a session if we feel, in our professional judgement, that continuing could be unsafe for you or anyone else.
8. Liability, website and general terms
8.1 Our liability
We take our work seriously and do everything we reasonably can to deliver safe, high-quality sessions and content. However:
• We cannot guarantee specific results from any class, session, or program
• We are not liable for injury, loss, or damage caused by you not following guidance, not disclosing relevant health information, or participating beyond your safe capacity
• We are not liable for loss or damage to personal belongings brought to the studio or any venue we use
• We are not liable for technical issues on your end during online classes (internet connection, device problems, etc)
• We are not liable for issues caused by third-party services we rely on, such as Zoom, Kajabi, Acuity, Stripe, or PayPal
Nothing in these terms limits or excludes our liability for anything that cannot be limited or excluded by law — including death or personal injury caused by our negligence.
8.2 Our website and content
The information on our website, in our recordings, and in our publicity materials is provided in good faith and for general educational purposes only. While we take care to keep it accurate and up to date, we don't guarantee that it is always complete, current, or error-free.
Any links to other websites are provided for convenience. We are not responsible for the content of third-party websites or for anything that happens as a result of visiting them.
Use of our website and reliance on any information it contains is at your own risk.
8.3 Intellectual property
All content created by Bodyspace Movement — including class recordings, videos, written materials, downloadable resources, graphics, photographs, and the structure and wording of our courses — is the intellectual property of Bodyspace Movement.
You may use this content for your personal movement practice only. You may not copy, share, download, screen-record, distribute, republish, or use any of our content for commercial purposes without our written permission.
8.4 Communication
We may communicate with you by email, phone, or text about your bookings, membership, classes, and any changes to our services. By providing your contact details, you consent to us contacting you in these ways.
Please keep your contact details up to date. If you change your email address, phone number, or home address, please let us know. Otherwise, we will assume any communications sent to your most recent details have been received within five days of sending.
Please note that email is not a fully secure form of communication. We will not be liable for any loss resulting from communicating by email.
8.5 Third-party rights
Only you and Bodyspace Movement have rights under these Terms and Conditions. No third party has any rights to enforce any part of these terms under the Contracts (Rights of Third Parties) Act 1999.
8.6 If part of these terms cannot be enforced
If any part of these Terms and Conditions is found to be unenforceable, the rest of the terms will still apply.
8.7 Your statutory rights
These Terms and Conditions are in addition to your statutory rights as a consumer under UK law, not a replacement for them.
